Terms of service

1. Who we are

Referred to below as "RungGym", "we" or "us". By "you" we mean the personal trainer, coach or business taking out a subscription, or the individual on a Personal plan for their own training (section 3).

You must be at least 18 to create an account. You provide accurate details, keep your password to yourself and are responsible for what happens through your account.

2. What the service is

RungGym is web-based software for coaches and for people training themselves. The service consists of modules: Training (training blocks tailored to goal, level, injuries and equipment, with PDF export), Nutrition (nutrition targets, meal plans, shopping list and food diary) and Progress (check-ins, habits, recovery, progress photos and messages). Coaches can add Business: calendar and bookings, session packages, a public page and enquiries from new clients. Which features you have depends on the modules you choose (sections 3 and 7). The dosage rules are based on generally accepted exercise science guidelines (among them ACSM and NSCA).

RungGym is a tool for qualified professionals, not a medical device. The software makes no diagnosis and does not replace medical advice. As the trainer you remain responsible for reviewing, adapting and supervising every plan, and for referring a client to a physician or physiotherapist when that is appropriate.

If you use RungGym for your own training, the plan is generated from what you fill in and nobody reviews it for you. Ask a physician before you start if you have a medical condition, are pregnant, or are recovering from an injury or surgery, and stop and seek advice if an exercise causes pain. You train at your own risk.

Nutrition targets and meal plans are calculated from general guidelines and food composition tables. They are not dietary advice for a medical condition, pregnancy or an eating disorder; in that case, ask a physician or dietitian. The allergen information in the app is an aid and may be incomplete: if you have an allergy or intolerance, always check the label yourself. The recovery score is an indication, not a medical assessment.

3. Subscription, term and renewal

You choose which modules you take and whether you pay monthly or yearly. A monthly subscription is automatically renewed for another month each time, a yearly subscription for another year, until you cancel. There is no minimum term beyond the period you choose.

A coach's first subscription starts with 14 days free, yearly plans included. A card is collected when you subscribe, but nothing is charged during those 14 days. On day 15 the first payment (for a month or a year) is taken automatically and the subscription continues as normal, unless you cancel before then. Cancelling during the trial costs nothing. The free trial applies to a first subscription only, so it is not repeated if you cancel and subscribe again later.

The Personal plans are for individuals training themselves. You choose modules (training, nutrition, progress tracking or all three together), each at the price shown on the pricing page. They hold one profile: your own. Within the training module you can generate as many training blocks as you want. They have no free trial: the first month or year is charged when you start.

If you take a yearly plan as a consumer, you can cancel it at any time after an automatic renewal. Let us know at info@runggym.com: your access runs to the end of the current month and we refund the full months of that year that have not yet started.

4. Prices and payment

The applicable prices are on the pricing page. Prices are charged in euro. Payment is made in advance, monthly or yearly as you choose, through our payment provider Stripe. We do not store card details ourselves.

The prices shown are final prices: RungGym falls under the Belgian VAT exemption scheme for small businesses and charges no VAT.

If a payment fails, we retry it. If it keeps failing, we may suspend access to your account until payment is made. Your data is retained during that period; it is not erased immediately.

5. Price changes

We may adjust our prices. We announce a price change at least 30 days in advance by email. A new price only applies from your first renewal after those 30 days: a period you have already paid for never becomes more expensive. If you do not agree, you can cancel before the effective date.

6. Cancellation

You can cancel at any time. Cancellation takes effect at the end of the current billing period: you keep access until that date and nothing is charged afterwards. Periods already paid for are not refunded, except in the cases of section 3 (a consumer's yearly plan after renewal), 3a (withdrawal) and 12 (changed terms).

The same applies to a Personal plan once the 14-day withdrawal period is over: cancelling stops the next payment rather than refunding the period you are in. Blocks you already generated stay available for as long as your access runs, and your profile and history are still there if you start again later.

We may terminate the agreement with 30 days' notice, or immediately in the event of abuse, non-payment or unlawful use of the service.

7. Modules, client seats and changes

A coach subscription is charged per module by the number of client seats you choose: at least 5, up to 200 online (more on request). The pricing page shows the price per client seat. For the single modules (training, nutrition, progress) the price per seat halves from the 21st seat. All-in-one never costs more than €59 a month or €590 a year, however many client seats you choose. Business has a fixed price and is only available together with at least one other module. If the modules you choose cost as much as or more than All-in-one together, you automatically get All-in-one, which is then the same price or cheaper. A Personal plan holds one profile.

You cannot have more active clients than your client seats, plus any extra seats from the referral programme. That limit is enforced technically. Features of modules you do not take are not available, including in your clients' portal; the data already in them is kept.

You can change modules, client seats and the billing period at any time. A change takes effect immediately and is settled pro rata on your next invoice: when you add, you pay the difference for the rest of the period; when you reduce, you receive a credit. If you choose fewer seats than you have active clients, you first select which clients to archive. Archived clients and their plans are kept.

Free plan. A coach can also use RungGym for one client free of charge, with training, nutrition and progress but without Business (agenda, packages, public page and leads). No card is needed and the free plan has no end date. It is not a subscription: nothing is charged and nothing renews. The one-client limit is enforced technically. For more clients or Business you choose a paid plan, which starts with the 14-day trial if it is your first subscription. When a paid subscription ends, the account does not move to the free plan by itself; you can switch to it yourself, keeping one active client.

We may change or end the free plan. We announce that by email at least 30 days in advance. You can then choose a paid plan or stop using RungGym; your data stays available for export as described in section 9. In the event of abuse we may end a free plan immediately, as section 6 allows for any agreement.

8. Availability of the service

We make reasonable efforts to keep RungGym available and working, but we give no guarantee of uninterrupted availability and promise no specific uptime percentage. Maintenance, updates and outages at external suppliers (hosting, database, payment provider) can cause temporary interruptions. We announce planned maintenance with impact in advance where possible.

9. Your data stays yours

The client data and workout plans you enter or generate in RungGym remain yours. We use them solely to deliver the service. We do not sell them, do not share them with third parties for their own purposes, and do not use them for advertising.

For as long as your account is active you can export your plans as PDF at any time. After cancellation we keep your data available for 30 days so you can export everything. After that we delete it. If you want deletion sooner, request it at info@runggym.com and we will carry it out.

With respect to your clients' data you are the data controller and we are the processor. If you process your clients' health data, such as injuries, nutrition or recovery, you ensure a valid legal basis, as a rule their explicit consent. The data processing agreement forms part of these terms and applies automatically, no signature needed. See also the privacy policy.

10. Intellectual property

The software, the exercise database, the rule engine, the texts and the RungGym brand remain our property. You receive a non-exclusive, non-transferable right of use for as long as your subscription runs.

You are free to use the plans you generate in your own practice and to give them to your clients. What is not allowed: copying or reselling the software or the exercise database, building a competing service with it, or extracting data from the service in an automated way.

11. Liability

RungGym supplies software, not training, medical advice or dietary advice. As a professional, you judge whether a plan is suitable for a given client; if you train yourself, you decide that yourself (section 2). We are not liable for injury or damage arising from the execution of training or from following a meal plan.

Our liability is limited to direct damage and to a maximum of the amount you paid us in the twelve months before the damaging event. We are not liable for indirect damage, such as lost profit, loss of clients or reputational harm.

These limitations do not apply in the case of intent or gross negligence on our part, to death or personal injury caused by our fault, nor in cases where the law imposes liability mandatorily.

12. Acceptance of and changes to these terms

You accept these terms, including the data processing agreement, by ticking the box when you create your account; in doing so you also confirm that you have read the privacy policy. No account is created without that tick. We keep a record of which version you accepted and when.

We may adjust these terms. We announce substantive changes at least 30 days in advance by email, and from the effective date the app asks you to accept the new version before you continue. If you do not agree, you can cancel; we then refund the part of your current period that falls after the effective date.

13. Governing law and competent court

This agreement is governed by Belgian law, regardless of where you are established. We first try to settle disputes by mutual agreement. If that fails, the courts of the judicial district where RungGym is established have jurisdiction. Mandatory provisions of the law of your own country that cannot be contracted away remain unaffected.
